Managing and improving AI Dots after setup

Business workflows change. Keep your Dot useful with an owner, recurring review and clear agreements for changes, exceptions and maintenance.

Measure what the employee experiences

A task may run successfully yet create extra correction work. Evaluate the result in everyday use with the person who relies on it.

  • How often was the result immediately useful?
  • What information was missing?
  • How much time did review and correction take?
  • Were exceptions clearly reported?
  • Did the result stay within the assignment?

Record a simple baseline before starting. This makes it possible to compare whether the work has become easier.

Keep sources and instructions current

A changed folder, new CRM field or revised working agreement may affect the task. Define who reports these changes and who decides whether the setup needs adjustment.

Prioritise improvements based on recurring problems. One clear adjustment is usually easier to evaluate than adding new sources, instructions and responsibilities at the same time.

Test changes before everyday use

Use a recognisable example and a relevant exception when the workflow changes. Check the result, sources and agreed review points.

  • Describe the change.
  • Assess its effect on the existing task.
  • Evaluate the trial result.
  • Update the working instructions.

When a change goes beyond the assignment, we discuss the new scope first.

Decide who maintains the workflow

For monthly service at € 499 per Dot, the proposal records agreed maintenance. With the € 6.999 one-time implementation, your team receives a handover; later maintenance is a separate agreement.

If the assignment grows into several responsibilities, an AI Employee may be more suitable. Review pricing and options and compare the three AI services before expanding.

A practical review

  • Look at recent results and exceptions.
  • Check that sources and instructions remain current.
  • Discuss how much correction was needed.
  • Choose the most valuable next improvement.

Make a change carefully

  • Describe what changes and why.
  • Check the effect on access and responsibility.
  • Test a recognisable example.
  • Update the documentation and handover.

Frequently asked questions

Can the task be expanded later?

Yes, after reviewing the new scope. Another responsibility may require different sources, permissions and review. We decide whether it should be an expansion, a second task or a different AI service.

Who maintains a Dot after one-time implementation?

Your designated owner manages the everyday workflow after handover. If you want further support from BigBase, we agree that service separately.
